Collection Process

Life Cycle Milestones and Key Letter Communications

We optimize the collection process timeline while upholding your company’s good reputation with professionalism. Our team strives to resolve complicated disputes and adapt our debt collection process to any type of account, regardless of industry.

After we receive an account, we follow this standard letter communication life cycle:

  • Day 0: Our expert team scrubs accounts and looks for missing data. We also conduct standard credit report queries for accounts with a higher propensity to pay.
  • Day 1: After accounts are loaded for collection, we send a federally required collection letter, also known as a Regulation F Validation Letter.
  • Day 7: We send a Credit Reporting Alert letter.
  • Day 14: We follow through with a Reminder of Credit Reporting letter.
  • Day 30: We send a two-week notification that the account will be credit-reported.
  • Day 45: Our team activates credit reporting on all eligible accounts.
  • Day 46: We notify consumers with a Recently Credit Reported letter.
  • Day 60: We follow through with an Account in Collections Reminder.
  • Day 90: If you provide us with a preapproved Settlement Offer, we send it to the consumers.
  • Day 120: We conduct an account work life cycle review and reassign the account according to its status.

Life Cycle Communication Standards

Our collection process strictly adheres to the Fair Debt Collection Practices Act, also known as Regulation F. Communication regulations allow us to conduct seven communication attempts every seven days. When consumers accept our communication attempts via phone call, we’ll resume communication after seven days.

However, if the consumer voluntarily requests a follow-up via phone call, we’ll be able to call them again. A common example is when we talk with a consumer on Monday and they ask us to call back when they have a budget for payment on Friday.

We use SMS, phone calls and emails as our primary communication methods, as well as occasional ringless voicemail messages. The consumer will receive up to seven communications per week through these methods. This communication life cycle is parallel to the notification letters and will continue through days 0-120.

If an account reaches day 120, we will conduct a thorough evaluation to determine if it shows payment potential. If it does, we will continue with the aforementioned life cycle. If we have yet to receive a response from the consumer, we will process the account for a follow-up data scrub and assign it to our automated collections systems.

To optimize time and manpower while prioritizing payable accounts, our automated systems employ a traditional dialer and an AI-powered collection agent. They are carefully programmed to follow a typical seven-day span that will contain three phone calls, two SMS and two emails.
